Scheduling Trips
Steps for Scheduling a Reservation with CCTS
- Be prepared with all information before calling.
- Call the CCTS Demand Response Center on Monday - Friday between the hours of 8am - 5pm at (704) 920-2246.
- All reservations must be scheduled no later than 1pm the day before the appointment. Monday reservations should be called in on Fridays. Reservations may be scheduled up to two months in advance. CCTS cannot guarantee that a same day request for transportation will arrive at the appointment on time.
- Listen to the voice prompt given and press the appropriate number.
- A Transportation Representative will answer. Tell them the reason that you are calling. Example: "I need to schedule a reservation."
- If you will have more than one destination, let them know at this time.
- They may ask you to hold on a minute while opening the Reservation Menu in the computer. Give yourself some time to call in to make reservations. All reservations are entered while you are on the phone with the Transportation Representative and entering them can sometimes take several minutes.
- They will ask you questions in the order needed for the computer. Please be ready with your name (or the name of the person you are scheduling for); the pick up address; phone number; the date of the appointment; the destination name, address, and phone number; and the time of the appointment.
- The Transportation Representative will then let you know that your reservation with the CCTS Van has been scheduled. Be aware that in some cases A&S/TJ's Taxi or Secure Comfort could be used for your transport. If this is not a possibility for you, please let the Transportation Representative know.
- Also be aware that you need to be ready for pick up as early as one and one half hours prior to your appointment time. The driver should be no later than thirty minutes before your appointment time.
Note: For Facilities needing to schedule a Non-Emergency Transport please fill out a non-emergency transport form and fax to CCTS at 704-262-7039. If you need a non-emergency transport form, please call 704-920-2246.
Steps for Canceling a Reservation Scheduled with CCTS
- Call the main line at CCTS anytime to cancel.
- Always call at least two hours prior to your appointment time to cancel. If you call after the two hour period, you may be charged as a No Show.
- If you cannot call during regular business hours, you may get an answering machine. Leave a message for the Dispatcher to check when he arrives.
- When the Transportation Representative answers, tell them what you are calling for. Example: "I am calling to cancel my reservation."
- You will be asked to give your name or the name of the person you are canceling for.
- Be sure to give them the dates which you are canceling.
- The Transportation Representative will let you know that you reservation has been cancelled.
Steps for Receiving a Return Trip Home
- Call the main line at CCTS only when you are finished with your appointment and ready for your return pick up.
- When the Transportation Representative answers, tell them what you are calling for. Example: "I am calling for my return trip home."
- If you have another destination (pharmacy, lab work, etc.) inform them at this time. This is only if the second destination was scheduled at the same time as the first appointment.
- You will be asked to give your name or the name of the person you are calling in a return for.
- Be sure to have the name and address of the place you are being picked up from.
- Be aware that it can take up to one and one half hours for a return trip home pick up in some cases.
- Failure to call and cancel a return trip may also result in a "No Show".
